Automation and AI

Automation that does the repetitive work.

The steps your staff repeat every day, handled by software and AI. Follow-ups sent, records updated, documents read and sorted, reports assembled, without anyone remembering to do it. People only review.

What we automate

The work nobody was hired to do.

Customer follow-up

Every inquiry gets a reply, every quote gets a nudge, every past customer hears from you at the right time. Written in your voice, sent on schedule, logged in your system.

Data moved between tools

The order from the website lands in accounting. The signed form updates the CRM. The invoice triggers the reminder. No retyping. When a system has no way to connect, such as Yardi Breeze, a worker reads it the way a person would, every night.

Documents read by AI

Leases, invoices, applications, and emails read, sorted, and summarized. A person checks the result instead of doing the reading.

Reports that write themselves

The weekly numbers, the month-end summary, the owner's Monday morning email, assembled from live data and sent on time.

Approvals and reminders

The right person is asked at the right moment, reminded if they forget, and the answer is recorded.

AI that drafts, people who decide

Replies, quotes, and listings drafted for review. Nothing goes out, gets paid, or gets deleted without a person's say.

How we approach AI

Useful, boring, and supervised.

AI is good at reading, sorting, drafting, and matching. It is not good at being trusted with money, customers, or deletions on its own. So we put it on the steps that are pure repetition and keep a person on the steps that matter, with a record of what the AI did and why.

Everything it reads stays in your accounts. We do not train anything on your data, and the rules about who can see what apply to the automation the same way they apply to your staff.

In use

A brokerage's listings sync in on their own, other realtors get lockbox codes without calling, and Yardi is read every night without anyone logging in.

Security first

Your data is your business.

  • Only your people can log inNo open sign-up. Accounts are limited to your company's own addresses.
  • Rules live in the databaseEach role sees and edits only what it should, enforced where the data lives, not just on the screen.
  • Decisions cannot be tampered withApprovals are recorded in order and locked at the moment of decision.
  • Reviewed in writingEvery build goes through a written security review before you rely on it.
Questions

About automation.

Do we need a new system first?

No. Most automation starts with the tools you already have. If those tools turn out to be the bottleneck, we say so and show what an operations app would change.

What if the AI gets something wrong?

It is designed so a wrong answer costs a review, not a customer. Anything consequential waits for a person, and every action is logged so you can see what happened.

What does it cost to run?

The AI and services behind an automation usually cost a few dollars to a few hundred a month, paid directly in your own accounts, so there is no markup and nothing tied to us.
